Please see the attached email from the Office of Sponsored Programs(OSP) regarding a new online Sponsored Equipment Course. OSP with feedback from FAS and other Harvard schools developed a online Eureka course - I would like to encourage all of you to take this course and to forward it on to your co-workers who might also deal with equipment.
As a reminder, we are having an Equipment Coordinators Meeting on April 18th at 1pm in the Northwest Building Room 169. Good morning!
Have you ever wondered what happens when a piece of equipment is ordered for use on a sponsored award? Have you been involved in an audit involving equipment? Have you seen the phrases "fabrications" and "GFP" and been curious about what they mean?
If so, then we recommend you take the new Eureka online course offering titled "Harvard's Sponsored Equipment Management Policy." <http://eureka.harvard.edu/Eureka/course_template/course.cfm?CourseID=544&ca…> The 30-minute course offers a primer on this important policy, including:
* Policy Background - including definition of sponsored capital equipment, why we have a policy, and roles and responsibilities
* Ordering Equipment on a Sponsored Award - including purchasing equipment, fabrications, GFP, and equipment transfers
* Equipment Management - including receiving sponsored capital equipment, equipment movement and disposition, and physical inventory
This course is highly recommended for any staff member whose work supports sponsored programs at Harvard.

Hi All,
Thank you to those that were able to attend today's meeting. I appreciate your feedback on the roles and responsibilities matrix as well as the Capital Equipment Decision tree both documents are very important.
I am attaching both documents without the changes we discussed today. The changes I will be making within the next week are:
A) Roles and Responsibility Matrix for Equipment Management
1) Include a column for PI/Lab Manager
2) Add a statement in about when there appears to be more than one person responsible and why.
B) Capital Equipment Decision Tree
1) Ask OSP about what their definition is on "Intended use" on sponsored Equipment.
2) Repairs over $5K can it be charged to capital.
If you or anyone in your department that uses Equipster would like to be part of testing the new features, please email me so I can coordinate with HUIT for you to become a tester.
As I mentioned Price Waterhouse Coopers will be presenting - A-133 Findings and Historical Comparison. During the question and answer part, I will bring up the issue of timing. This Friday's RAS meeting is in Lamont Library, I encourage you all to attend. It is held at 10am in the Lamont Library Forum Room - coffee will begin at 9:45am. You need a valid HU ID to enter Lamont Library.
Finally, regarding all those new charges that appeared in Equipster overnight - please hold off on assigning any of these as it appears that some of them may be duplicates. I emailed HUIT to find out what is going on and as soon as I have an answer I will email you all.
If I have left anything off on the above, please email me and let me know.
