Good Afternoon,
I would like to thank you all in advance for your hard work bringing our equipment data up-to-date in Equipster over the last few months. I appreciate all your hard work that goes with Equipment Management. Your patience with the system, the sometimes laborious task of entering and assigning assets into Equipster can be frustrating.
Sheila and I have spent an intense amount of time reconciling Equipster to the General Ledger, I am happy to say that we have reconciled all of FY12 and FY13. During this time we have been working with the programmers to make some changes so that we are capturing everything that hits the GL and as of May 22nd, we are closer to that goal than ever before. With that said, there are still some outstanding Equipster data issues - they include wrong dates, some assets remaining on the homepage when they have already been assigned; these issues are being addressed with the programmers.
INVENTORY - DEADLINE is Today, October 15, 2013, some of you have already emailed to report your completion of your inventory and for those who have not, please email me at kcolann(a)fas.harvard.edu<mailto:kcolann@fas.harvard.edu> let me know what is the status of your inventory. If you have been unable to complete it by today, please include where you are at and what your time frame is for completing this required A110 inventory.
The next Equipment Coordinators meeting will be on November 13th, at 2:00pm, location and agenda will be forthcoming.

Equipster has been down this afternoon - it was not loading and a restart of the server was required.
We received and email from the Equipster programmers that stated "since the upgrade to 11g over the weekend, the Equipster load process is not completing. The DBA team is looking at why these jobs are not finishing and we are hoping to have a resolution as soon as possible. The last data that was loaded was on May 31st ."
As soon as it is up and running I will let you know.

Please see the attached PDF’s that relate to this past Tuesday’s Equipment coordinators meeting. Attached you will find a PDF copy of the inventory instructions, a copy of OMB Circular A110 Equipment section, and some FAQ’s surrounding equipment inventory.
A question regarding what date to use as the inventory date has been clarified. It has been confirmed that the FAS FY13 A110-required biennial Physical Inventory is to be for all capital transactions in Equipster through 6/30/13. All assets should be inventoried and marked with inventory dates from 7/1/13 - 10/15/13.
For those that may be seeking assistance with their inventory, Rady Rogers of FASTRAC helps in recruiting interns for the FAS RAS Community. I thank you all for your patience with Equipster the past 2 years, we have made some great strides in making sure the data coming in is correct as well as in making sure that some of your requested upgrades have been instituted into the system. As of Friday, May 24th you may have seen an increase in your unassigned transactions; this is because we are now pulling in the following:
GL_JE – Transactions from 03/16/2012 (yes 2012) going forward.
Please email me with any problems such as duplicates, wrong amounts, dates or any other irregularities that you encounter when assigning your assets. Now that the programmers have figured out the missing data feeds we will be looking into how to pull old missing data into Equipster.
I would also like to thank you in advance for your assistance with the upcoming A110 physical inventory as well as the future FY14 IDC Rate Calculation Inventory, which will take place next spring. It is unusual that we have back to back inventories but due to the timing of the IDC rate proposal it is necessary to complete the two inventories. Having these inventories back to back will also help clean up our data for the new Oracle Fixed Assets Program that is to come online sometime during FY15.
